Getlabs is seeking an experienced Executive Assistant in Los Angeles, CA to assist our CEO and executive team as we drive through hyper-growth. An ideal candidate would be someone who is a self-starter, incredibly organized, and relentlessly resourceful. You will have the intuition to react with appropriate urgency to emerging situations, be able to complete multiple high-priority tasks efficiently, and be comfortable making decisions with minimal oversight or mentorship. Being flexible and having a sense of humor while maintaining a high level of integrity and confidentiality is crucial to this role.

At Getlabs, you will:

  • Act as a liaison for assigned executives relaying and exchanging information with others including Board members, investors, senior leaders, customers and clients, and other organizations or constituents.
  • Conserve executive’s time by reading and routing email, drafting letters and documents, and initiating meetings.
  • Coordinate all meetings including but not limited to 1:1s, team meetings, offsite meetings, customer/partner/investor/media/analyst meetings across global time zones.
  • Assist in the preparation of presentations, meetings, reports, or other materials as necessary
  • Be an active liaison within the team to promote further collaboration as the company continues to scale
  • Adept in delivering judgment where it is needed to ensure overall efficiency of the process, schedules, and general team dynamics
  • Ensure executives are prepared for upcoming meetings, presentations, and projects by gathering materials necessary.
  • Book appropriate domestic and international travel, handling travel policies taking into account visas, costs, and proper documentation
  • Preserve sensitive, confidential, and proprietary information
  • Coordinate meetings and conference calls, including arrangements of logistics, meeting space, communications, and catering
  • Prepare executive expense reports and create purchase requisitions
  • Assist in other special projects as needed
  • General administrative duties including drafting memos, meeting notes, phone screening, mailing, etc.
  • Take ownership of daily operations and special projects for the executive team
  • What we are looking for:

  • 5+  years' experience performing executive administrative support and general office management duties
  • Bachelor's degree or equivalent job experience
  • Excellent verbal and written communication skills; ability to communicate professionally and effectively with all levels within an organization including executives, vendors, customers, and partners
  • Exceptional attention to detail, accuracy, and commitment to customer satisfaction
  • Ability to work within overlapping time zones
  • Previous experience supporting multiple senior-level executives or large business units
  • Ability to exercise absolute discretion and maintain confidentiality
  • High energy, professional and friendly personality with a "can-do" attitude
  • Strong project management skills; Exceptional task and time management
  • High degree of self-motivation, initiative, and  flexibility
  • High capacity to juggle multiple tasks in a high intensity fast paced environment
  • Strong Google Suite experience (Gmail, Google Docs, Google Sheets, Google Slides) and web-based application skills
